ADMINISTRATIVE ASSISTANT
The City of London is currently recruiting a full-time, temporary (up to 15-weeks) Administrative Assistant (Finance) position.
Summary of Duties
Reports to the Executive Assistant
Performs a variety of administrative duties including correspondence, appointment scheduling and file follow-up systems.
Work Performed
Assists in the preparation and compilation of complex financial reporting documents including the Finance Report and Financial Statements.
Assists the Manager lll, Financial Services and Manager Il, Financial Systems and Controls in all administrative areas including scheduling meetings, preparing agendas and minutes and issuing numbered donation letters.
Updates the City Web and City Connect for Finance related documents.
Monitors payments on the Divisional budget and investigates discrepancies.
Records and prepares attendance records for approval by the Manager, Financial Services, liaising with the Payroll Section as required.
Maintains petty cash and prepares reimbursements for Divisional staff, accounts payable vouchers and journal entries. Prepares purchase requisitions and maintains purchase orders, ensuring control over receipt of items purchased.
Monitors and orders office supplies for ongoing operations using on-line requisition system. Liaises with Facility/Fleet Services Operations, Purchasing & Supply and outside suppliers for supplies, purchase orders and/or repairs.
Processes payment for corporate parking system.
Drafts responses to correspondence for non-complex or routine issues. Types letters, reports, statements and surveys.
Maintains confidential files for records, documents and follow-up systems. Responsible for liaising with Records Retention and printing staff.
Updates and maintains mailing lists (e.9. financial statement distribution lists).
Receives telephone calls and provides information, where possible, for the Division. Receives visitors to the Division and directs appropriately.
Operates office equipment including PC with various software, dictaphone, calculator, fax machine and photocopier.
Carries out routine research as required.
Provides back-up for the Financial Operations Assistant as required.
Performs related duties as required.
Qualifications
One year of a two year Community College Office Administration Diploma.
Specialized Training and Licenses
Typing speed required is 50 w.p.m.
Demonstrated proficiency in word processing, spreadsheets and various software.
Salary
$18.67/hourly
